If you’re new to Monday.com or you’re considering it as an option to manage your business, this blog post is going to tell you all the things you really should know with the least possible amount of fluff so you can understand the fundamentals of what Monday is all about and what makes it unique.
We’re not going to cover every single feature of Monday in this blog post (would take me all year), rather we’re going to focus on the big stuff. The most important stuff (good and bad) that you would eventually figure out yourself if you used Monday for a year or two but that you would wish you had known sooner.
But first, let’s get one thing out of the way. Actually, let’s get a few things out of the way;
- Yes, I am a Monday Consultant and Coach. So, I do know a fair amount about Monday.
- I didn’t write this artcle to try and promote my consulting business or to try and convince you to sign up to Monday.com via my affiliate link so I can earn some coffee money. (Althooooooough, if you do want to sign up to Monday via my affiliate link it’s right here).
- Much as I love Monday, it (like every other app known to man) does have it’s weaknesses. And I will be exposing the biggest ones in this article. Not to give the team at Monday a hard time, but because it’s important to know any tools strengths and weaknesses BEFORE you commit your time, money and sanity to migrating to said tool.
- Monday (again, like any other SaaS tool) is not right for everybody. Because Monday is super duper customisable, it’s probably right/close to right for more users and businesses than most other tools I can think of, but it’s still not right for everybody. If we ever end up chatting/communicating re Monday, I am not going to recommend it as an option to you unless I genuinely think it’s a good fit for your and your brain, your team and your organisation. Trying to fob off a SaaS tool on somebody it’s clearly not suited to only ends in tears – for all concerned.
Right, having said that, let’s get on with it. First up…
What is monaday com?

That question could be a blog post in it’s own right. There is sooooooo much confusion over what Monday is, what it does and what it costs. I’ll try to give you the shortest possible version while still covering all the important bits I think anyone considering Monday should know;
Before I start…
Before I eventually bit the bullet and signed up, I did a free trial of Monday. Twice. Both times, I walked away thinking “It’s just a slightly more colourful Excel. I don’t see what all the fuss is about…and I definitely don’t see how they justify the price tag!”.
But, the features I was looking for kept drawing me back to Monday. (For me one of the biggest drawcards and hardest box to tick was the ability to manage 3 completely different businesses in a way that I could view all my data in one place without confusing said data). Eventually, I tried it a third time. And this time, I did a deep dive. And I was blown away. The more digging I did the more my mind was blown by what this amazing platform could do.
What am I saying all this? To convince you Monday is amazing and that you should sign up right now even though you don’t know what it can do and who it’s for (yet)?
Nope.
My point is this;
Monday isn’t right for everybody. It may not be right for you. But I can guarantee you one thing; if you think Monday is just a colourful Excel you have discovered approximately 5% of what it can do and you need to dig deeper if you really want to either cross it off your list or bump it up to your shortlist.
Sure, write it off if you like without learning how it works if you want. But if you do so you will be giving up on it before you actually know what it can do and whether it might be right for you and your organisation. And you MIGHT just be missing out on an awesome tool that could change your business dramatically.
And, on that note…
The “Old” Monday.com
Note; if you don’t have a Monday account or have only signed up to a free trial/paid plan in the past few months, you can skip this section. This is because it covers the old pricing structure for Monday.com. And, if you signed up very recently you will be on the latest pricing structure and the following section won’t apply to you. May as well fast forward to the next section.
If, on the other hand, you’ve been a Monday for a couple of years or more, you may benefit from reading this section as it will help you understand the old feature set/pricing structure versus the new and may well clear up a whole lotta confusion for you.
Up until a few years ago (2022 I believe, but I could be wrong), “Monday.com” was in fact the name of a SaaS tool. At that time, the company was called Monday.com, their domain was monday.com and their product was Monday.com. Super confusing, I know! (If only it was less confusing these days, but bad news on that front).
Even though they tried to market Monday.com as a project management tool and a CRM at that time, Monday.com wasn’t a Project Management Tool and it wasn’t a CRM. What it really was was a no-code platform that you could use to build a semi-decent CRM or a Project Management Tool or pretty much whatever else you wanted.
(Yes, Monday did and still do include many free Project Management Templates and CRM Templates but they don’t constitute a whole complete CRM or whole complete Project Management Tool. They were just advanced building blocks that still required a hell of a lot of work to customise and cobble together into something resembling a complete system).
Monday Becomes A Multi-product Company
Then, around 2022, the team at Monday announced the launch of their second product, which at that time was known as Monday Sales CRM. This is the product – admittedly much updated – that we call Monday CRM today. (Initially Monday Sales CRM offered very few unique features over Work Management and cost a whole heap more. For this reason, at that time I strongly recommended my clients AGAINST signing up for Monday Sales CRM).
At the same time, the original Monday.com platform was rebranded as Monday Work Management.
And just like that, Monday.com was now a multi-product company.
At this point, they started talking about the Work OS suite of Monday Tools, which initially was just Monday Sales CRM and Work Management.
To make things even more confusing, at that time if you wanted to sign up for Monday Sales CRM you had to first sign up for Monday Work Management and then add a Monday Sales CRM subscription on top of that. (Many users still think this is true today and even many online Monday “experts” will spread misinformation about this but this is no longer the case).
And of course, even though there was no longer any product called “Monday.com”, most Monday users (including me) continued to use the term Monday.com to refer collectively to various Monday products – resulting in even more confusion.
The New Monday.com
Fast forward to April 2025.
These days, the Monday WorkOS suite of tools (not sure if Monday’s even still using that terminology but oh well) consists of;
- Monday Work Management
- Monday CRM
- Monday Service (an online ticketing system similar to Zendesk)
- Monday Dev (product development management software)
The bulk of Monday users still seem to be on Monday Work Management or Monday CRM, but these days more and more users are defaulting to Monday CRM because of it’s more powerful feature set.
And yes, loads of us are still saying “Monday.com” to refer to Monday CRM and Monday Work Management and the other products even though (a) there is no longer any such product and (b) it’s causing a lot of confusion for new (and not-so-new) users!
The Core Purpose of monaday com

Monday com is built to help teams organize, plan, and track work in one spot. The platform:

- Works for newbies and power users. Using Monday is visual and intuitive (dare I say it, even… fun?).
- Takes that mountain of emails, sticky notes, and group chats and squashes them into a single, living workspace.

Monday Work Management versus Monday CRM
Even if people do manage to wrap their brains around what “monday.com” can do, they still have another mental hurdle to leap over – what on earth is the diffference between Monday CRM and Monday Work Management and which one is right for me?
I’m going to make this one simple. Because it’s not hard once you know both products well.
Because of the names, people think that Monday CRM is “just a CRM” and that they need Monday Work Management for Project Management.

Nope, not true. Apart from one Project Management feature (called Portfolio) that is only available on the Monday Work Management Enterprise Plan, at this stage Monday Work Management offers zero unique features when compared to Monday CRM.
Monday CRM, on the other hand, offers a whole host of awesome unique features that you don’t get on Work Management.
For example;
- Mass emails
- Emails & Activities (lets you view/reply to/send emails from within Monday and also log calls and meetings).
- Sequences
- the Item Creation Form
- Sales Funnel Widget
The Short Version
So, long story short, unless you’re in Project Management and you’re considering the Enterprise Plan or unless your budget prevents you from choosing Monday CRM…choose Monday CRM not Monday Work Management.
Oh, and while I’m grossly over-simplifying things for you…
Choosing a Pricing PIan
When it comes to pricing plans, you want my advice?
Don’t consider anything lower than Pro Plan. Below Pro Plan your monthly Automations Actions Limit and Integrations Actions Limit is so low that you won’t be able to automate your way out of a wet paper bag.
And if you don’t want to use many/any Automations, why are you considering Monday.com? There are soooooo many awesome tools out there that could probably do what you want them to do and will cost you a hellofalot less than Monday. Eg you might want to check out PIaky (you’ll be shocked how similar it is to Monday. It actually looks almost identical to Monday! Don’t know how they haven’t been sued into oblivion yet). I also really really like Upbase. But I don’t know how much it costs so for all I know it could be even more expensive than Monday…
Who Uses monaday com?
Monday com is kind of the Swiss Army knife for work teams. It works whether you have a handful of folks or a global company stretched across time zones.
Here’s a quick rundown of who jumps in:

It’s once you understand this last one (connecting Boards in Monday using the Connect Boards Column and Mirror Columns) that your REALLY start to understand the secret sauce that makes Monday so powerrful. Once you learn how to connect Boards in Monday in a meaningful way, it’s like you were living in a two dimensional world where everything is flat and now you’ve been teleported magically into a three dimensional world. Connecting related Items together adds so much more context and detail to your automations and just how you view your data. It also makes it easy to find view and even edit the related info you need without ever leaving the board you’re in. (Yup, bye bye context switching).
It’s a game changer.
Why Monday.com is like Lego (and why that is both good and bad)

In fact, that analogy that Monday is like digital Lego (yes, I am quite proud of that one) tells you all you need to know initially about Monday.
Just like Lego, Monday is made up mostly of simple colourful blocks.
By themselves, those blocks don’t look like they could do much. However, with a bit (lot) of imagination and patience, you can build pretty much anything with them. (Millennium Falcon anyone?).
But, also like Lego, building complex systems in Monday can take a huge amount of time and experimentation. And, just like Lego, because you are building complex systems with simple blocks, sometimes those simple blocks require really complex builds to get them to do what you want. And, again like Lego, while you can build pretty much anything with your Lego…er, I mean Monday…it won’t necessarily work exactly the way you want it to and may not have some of the features you expect.
Want to build a door with a door handle? Bloody difficult but totally possible. But want to build it so that door-handle turns and unlocks the door? Yeah, good luck with that!
Want to build a CRM for your business using Monday CRM as a starting point? Totally possible. But will it come pre-built with all the features you’d expect with a CRM at this price point? Nope. (Random example; recurring tasks. You can build it into your Monday system but it will probably take you a long time to figure out).
What drives me crazy about Monday
Ok, so far I’ve talked in general terms about the key features that I think make Monday so unique and powerful. The good stuff.
Now it’s time to talk about the things that I DON’T love about Monday. The not-so-good stuff;
- Although it can be relatively intuitive to use once setup, setting up a decent system in Monday takes a huge amount of time and experience (and usually money). Even if you hire a pro, they need to learn your business and your real-world processes and even just this is hugely time-consuming before they even start to build your Monday system for you.
- Monday is basically useless when it comes to automatically updating connected Items. Eg got a Deal that is connected to one Contact? If you change the email address associated with the Deal there is no way (unless you are on Enterprise and use Monday Workflows) to automatically update the email address for the Contact. This makes it almost impossible to keep related and connected data in sync. (There is a workaround for this but it’s far from obvious and took me a while to figure out).
- Calendar View sucks! Yes, you can add a Calendar View to a Board or Dashboard, but the Calendar View doesn’t display duration accurately. You are forced to choose a default duration for each Calendar View and every item will appear to have that duration. And because Monday’s calendar integrations don’t allow 2-way sync, you really really. want Monday’s Calendar View to work…I dunno…more like a calendar!
- No 2 way integrations. Yes, Monday offers a host of integration recipes that allow you to integrate it with many popular third party tools. But the recipes are all 1-way integration recipes. Yes, as with the calendar integrations, with some of these third party tools you can set up two 1-way integration recipes in different directions (ie one recipe is Monday to the third party app, the other is third party app to Monday) but they won’t achieve 2-way synd no matter what you do.

Note; even if you click the “Try for free” button on a different plan, the free trial is always at the Pro Plan level. This is important to understand because otherwise you might click on “Try for free” under the Standard plan, think “this is pretty good, I think I’ll sign up” and expect that if you are on the Standard Plan and paying US$42 monthly for the minimum 3 seats you will get access to all the features you had during your free trial. But you will be disappointed. If you like the features you have access to during your free trial, you will need to sign up to the Pro Plan to get access to all the same features. Make sure you factor that into the equation. Either budget on paying for the Pro Plan in your cashflow forecast or make note of all the features you had access to during your free trial that you will lose out on if you sign up to a lower plan and figure out if that lower plan will still cut it for you.
