Monday Doc formatting options

Regardless of whether you are using Monday CRM or Monday Work Management, chances are that you’ve heard about Monday Docs. Maybe you’ve never created or used a Doc before but you’ve probably seen the “Create Doc” option in your sidebar or heard mention of them in the support docs or online forums.

If so, you’re probably wondering what all the fuss is about.

Spoiler alert – this is what the fuss is about;

  • Awesome collaboration features
  • You can highlight any piece of text (even multiple lines) and transform them instantly into tasks in any Board in any Group in your account
  • You can embed live filterable Board Views in your Monday Doc that not only allow you to view data but even to edit it!
  • You can embed powerful reporting Widgets (just like you can in a Dashboard) to provide constantly up-to-date reporting right within your Doc.
  • You can embed many web based apps in your Doc (eg Youtube videos, even Monday Work Forms).

In short, Monday Docs allow you to display and use information from mutliple Boards, collaborate ith your team, create new tasks on the fly and display all the files and info for any given project/team/user/whatever in one place.

Whether you’re brainstorming ideas, assigning tasks, or integrating live updates, Monday WorkDocs ensure that everything stays organized and accessible for your team. Stick around, and you’ll see how this feature can simplify your workflows and take productivity, team collaboration and even reporting to the next level.

What Exactly is a Monday Doc?

Imagine having a notebook, a whiteboard, a reporting dashboard and a task manager rolled into one and fully integrated into your work platform. That’s Monday WorkDocs for you. Don’t think of these Docs as a separate app or feature you need to juggle; instead, it’s a built-in feature within Monday.com designed to make managing teamwork and documentation hassle-free. While offering the standard features of other collaborative document tools, Monday WorkDocs also pack some powerful unique features you won’t find in many (if any) other shareable doc tools. Let’s break it all down.

Note; Monday Docs are not available on the Monday Work Management Free Plan. You need a paid plan with Work Management, CRM, Dev or Service to use this feature.

The Monday Doc Column

Add a Monday Doc Column

When you create a “regular” Monday Doc, you create it as a standalone feature in your chosen Workspace. You can organise your Docs within folders and even sub-folders in any Workspace you choose, but Monday Docs do not live inside a Board, they stand alone (like Dashboards, Boards, Folders and Sub-folders).

However, there is a relatively new Column in Monday called the Monday Doc Column. You can use this Column to create a single Doc only in each Monday Doc Column cell and that Doc lives within that item. It cannot be found anywhere else. You can set a Template for your Monday Doc Column. If so, every time you create a new Doc in the Doc Column it will start with that layout.

Another powerful feature of the Monday Doc Column is that Docs or Templates created in a Monday Doc Column can contain Column Variables that automatically customise the Doc based on certain Columns in the Board.

The other big advantage with Monday Doc Column Docs as opposed to “regular” Docs is that regular Docs are not searchable either by Doc title or contents even in the Search Everything feature (ironic, I know). Monday Doc Column Docs are not searchable by title or contents either but the Items that contain them are. Also, because Monday Doc Column Docs have to live in a Monday Doc Column within an item, it is much easier to search for and find them manually.

Key Differentiators

So, how does Monday Doc hold its own against traditional document editors like Google Docs or Microsoft Word? The secret sauce is its tight integration within the Monday.com ecosystem. Here are a few ways Monday Doc redefines collaborative documentation:

  1. Built-In Task Management: Monday Doc doesn’t just help you write and brainstorm—it transforms your notes into actions. By integrating directly with Monday boards, you can assign tasks, set deadlines, and connect your docs to ongoing projects in a way standalone document editors simply can’t.
  2. Dynamic Data Integration: Every doc is part of a larger workflow. Insert live widgets, dynamic updates, or link your doc to multiple boards. It’s like having a living document that adapts to real-time project changes and keeps your team aligned.
  3. AI Assistance: Draft faster and more accurately with the AI Assistant built into Monday Doc. From summarizing meeting notes to generating task ideas, it’s a game-changer for clarity and efficiency. Here’s a detailed look at its capabilities: monday workdocs AI Assistant.
  4. Seamless Sharing: Want to share progress with external stakeholders without losing control of sensitive data? You can create secure, read-only doc links or invite guests to collaborate directly within your workspace. Traditional tools don’t make sharing this frictionless.

Monday Doc takes what you expect from shared docs and reinvents the experience to focus on actionable collaboration within a structured workflow. It’s not just about writing—it’s about bringing your ideas to life and keeping every piece tied to the bigger picture. For teams leveraging the Monday ecosystem, this isn’t just a nice-to-have; it’s essential.

Custom Templates and Automation

Why start from scratch when you could use a template? Monday Doc offers a range of prebuilt templates tailored for different scenarios, from meeting agendas to project planning layouts. These templates save time and ensure consistency across your team. And it doesn’t stop there—Monday Doc integrates with Monday.com’s automation tools. Whether it’s improving communication, keeping everything in one place, or saving time on repetitive tasks, Monday Doc offers practical solutions that make it easier for teams to tackle their goals. Let’s break down the key benefits.

Streamlining Communication

Ever felt like team communication gets lost in endless email threads or scattered tools? Monday Doc eliminates that mess by creating a shared space for teams to collaborate in real time. With everyone working on the same document, updates and feedback happen instantly. Whether it’s brainstorming ideas, adding notes to a meeting summary, or fleshing out project plans, everyone’s input is captured in one place—no waiting, no duplicating effort.

Plus, comments and mentions help notify teammates when their attention is needed. Think of it as a digital conversation right inside your document. Need feedback on a section? Tag a teammate and they’ll get a direct alert. It’s fast, clear, and keeps everyone on the same page without unnecessary back-and-forth. It’s like turning a static document into a lively workspace where ideas flow freely.

Centralized Information Hub

Let’s face it: scattered information is a productivity nightmare. Monday Doc changes the game by acting as a centralized hub for all your project details. Instead of hunting down files or wondering which version of a document is the latest, everyone knows exactly where to find the most up-to-date information.

Linking Monday Doc to boards in Monday.com takes this to the next level. Tasks, timelines, and project details are all interconnected, so your docs and workflows operate as one cohesive system. Imagine managing a product launch—your marketing plans, design briefs, and task assignments all live in the same ecosystem, neatly tied together. This single source of truth cuts confusion and helps teams stay aligned, no matter how complex the project.

Improved Efficiency

We all know time is precious, and Monday Doc doesn’t waste it. With built-in integrations and automations, you can reduce time spent on repetitive tasks. Syncing your docs with Monday.com’s boards means updates happen automatically. For example:

  • Create a doc linked to a task, and it updates as progress is logged.
  • Automate meeting recaps to pull key highlights into a shared document.
  • Use templates to speed up recurring workflows, whether it’s creating agendas or outlining project frameworks.

You no longer need to juggle multiple tools or copy-paste data between systems. Everything flows seamlessly, saving you hours and keeping your focus where it matters—on high-value work. It’s like having a personal assistant for your documents, quietly handling admin so you can tackle the big stuff.

By combining communication, organization, and automation, Monday Doc doesn’t just support productivity—it fuels it. Teams walk away with sharper workflows, clearer insights, and a whole lot less stress.

Who Should Use Monday Doc?

Monday Doc is designed to simplify collaboration, streamline workflows, and keep teams connected. It’s versatile enough to benefit a wide variety of users, from project managers juggling deadlines to remote teams working across time zones. Project Managers and Teams

Monday Doc makes this process easier by acting as a central hub for organizing all those details. Project managers can create dynamic documents tied directly to team boards, providing a clear view of deliverables and task dependencies.

Need to outline a project plan? You can break it down step-by-step in a shared doc, link relevant tasks, and assign team members—all without leaving the platform. Team members can then update progress in real-time, track dependencies, or add comments to flag challenges. By eliminating multiple tools or scattered spreadsheets, Monday Doc helps ensure nothing slips through the cracks.

Some standout ways project managers can use Monday Doc include:

  • Documenting workflows with clear checklists and visual task breakdowns.
  • Tracking dependencies with notes that link directly to boards or task statuses.
  • Sharing meeting recaps or project summaries with a live document everyone can edit.

Think of it like a digital blueprint where the entire team can build together, ensuring alignment from day one.

Creative Teams

Brainstorms, storyboards, and content drafts—creative teams often need a space to turn abstract ideas into reality. Monday Doc is built for this. With multimedia-friendly features, you’re no longer restricted to plain text. Add images, videos, or even embedded links to create visually engaging documents that spark inspiration.

Whether you’re a marketing team drafting a campaign plan or a design team finalizing mockups, Monday Doc gives you the flexibility to collaborate without limits. You can jot down ideas in real-time with your team, attach mood boards, or even embed presentations directly into the doc. No more bouncing between tools to keep the creative energy flowing.

Here’s how creative teams can benefit from Monday Doc:

  • Content creation: Draft blog posts, ad copy, or campaign plans with team edits happening live.
  • Visual brainstorming: Upload reference photos, thumbnails, or videos right into your document.
  • Feedback loops: Use comments and tagging to ensure designers and writers stay aligned.

It’s like having a digital whiteboard that keeps your creativity organized, accessible, and on track for deadlines.

Distributed and Remote Teams

In a world of remote work, staying connected isn’t just optional—it’s essential. Monday Doc is a game-changer for distributed teams who rely on real-time collaboration to stay aligned. When teammates are spread across time zones, the ability to jump into a shared document, contribute updates, and see what others are working on is invaluable.

With Monday Doc, you can co-edit documents, tag teammates for input, and leave comments to save time on endless Slack conversations or emails. Plus, because it integrates with Monday.com boards, task updates and document edits move together seamlessly. This keeps remote teams focused on what matters, even when they’re not in the same room.

Ways distributed teams use Monday Doc to stay connected:

  • Hosting team meetings and jotting down key takeaways in a shared doc.
  • Aligning on project goals with live updates.
  • Sharing templates for onboarding processes or workflow guides.

It’s like having an office whiteboard that spans the globe—a single place to brainstorm, organize, and execute, no matter where your team members are.

    • Open Monday.com and click on the + button in your lefthand sidebar. (It will display “Add item to your workspace” when you hover over it).
    • Scroll down to the “Doc” option in the pop-up.
    • To create a new blank Doc from scratch, you can just click on the “Doc” button and start editing. Or…
    • Alternatively, if you want to create a Doc from a template, hover over the > arrow to the right of the “Doc” button and then click on “Start with template”. This will open the Template Center where you can browse or search for a template that suits your needs. Once you’ve created your new Doc from your chosen Template, you can start editing and customising it.
  2. Basic Formatting Tools:
At the top of your document, you’ll find easy-to-use formatting options, like bold, italics, headings, bullet points, and more. Need to create a checklist for your team? Use the checkbox feature to make a to-do list directly in the doc.
  3. Real-Time Collaboration:
Monday Doc makes teamwork easy. Invite your teammates to collaborate by clicking the “Share” button on the top right. You can adjust permissions so edits, comments, or views stay within the right hands. Think of this as a more customizable Google Docs—you’re in control of who can do what.
  4. Adding Comments:
Click on any text or highlight a section to add a comment. This helps teammates tag each other and leave feedback directly in the document without cluttering up team chats or emails.
  5. Sharing and Permissions:
Share your doc internally with your team or externally using public links. Want to keep certain projects confidential? Adjust visibility settings to restrict who gets access.

Monday Doc combines simplicity with powerful collaboration tools, making it easy to draft, edit, and share everything in one place.

Integrating with Monday.com Workflows

One of the most exciting aspects of Monday Doc is how seamlessly it ties into your Monday.com workflows. If you’re already using boards to organize tasks, integrating them with docs can supercharge your productivity.

  • Embed Boards Within Docs (and Forms and pretty much anything else):
Want to reference live updates from a board in your doc? Use the embed feature to pull in things like task statuses, timelines, or progress bars. Your doc will update automatically as changes are made to the board itself.
  • Highlight one or several lines of text in your Board and turn them into Tasks. Not only will the text turn into tasks, the tasks remain visible and accessible within your Doc.
  • Use Docs in Automations:
You can even incorporate Monday Docs into automated workflows. For example, when a new task is created in a board (like onboarding a client), you could automatically pull in a pre-built doc template, complete with all the relevant notes and instructions.

This integration essentially turns your docs into an actionable part of your workflow, so your documentation isn’t just “floating” in the background.

Tips for Advanced Users

Ready to take your Monday Doc experience to the next level? Here are some advanced tips to help you unlock its full potential:

  1. Use @Mentions Strategically:
Instead of long team emails, use @mentions within the doc to call attention to specific sections. Teammates tagged in a doc are notified right away, keeping communication focused and actionable.
  2. Turn Docs Into Templates:
If your team frequently repeats the same processes—like weekly meeting notes or project kickoff outlines—save time by turning docs into reusable templates. Create the structure once, save it, and duplicate it for future use.
  3. Multimedia Embeds for Richer Docs:
Don’t limit yourself to plain text. Embed videos, GIFs, timelines, or even presentations into your docs. Need to share customer feedback or design mockups? Drag and drop images right into the doc for seamless collaboration.
  4. Search Across Docs:
Monday Doc’s search tool is a huge time-saver. Instead of manually sifting through multiple files, just type a keyword or phrase into the search bar to find exactly what you need in seconds.
  5. Version History for Peace of Mind:
Ever had that “oops” moment when someone deletes important content in a shared doc? With Monday Doc’s version history feature, you can roll back to previous versions with a single click.

By mastering these features, you’ll not only save time but also create a more streamlined and collaborative work experience for your team.

Monday Doc Tips and Best Practices

If you’re navigating Monday Docs to streamline your workflow, you’re already a step ahead. But like any tool, the power lies in how you use it. Monday Docs isn’t just about typing words—it’s about making those words work for you with smart organization, efficient templates, and solid collaboration methods. Let’s break it all down.

Document Organization Strategies

Keeping your documents tidy doesn’t just look nice—it saves your team time and stress. With Monday Docs, setting up a well-structured system is easy and incredibly beneficial.

  1. Use Consistent Templates: Create or use pre-built templates for repetitive documents. Whether it’s meeting notes or project pitches, a standardized structure ensures uniformity across all your team’s docs.
  2. Tagging Wisely: Add clear, functional tags to documents. For example, use tags like “Marketing,” “Meeting Notes,” or “Client Updates” so you can filter and find docs easily using the search feature.
  3. Leverage Folders Within Workspaces: Organize your docs into intuitive folders aligned with your projects or teams. For instance, keeping all campaign-related documents under your “Marketing” folder can instantly declutter your workspace.

Taking an extra moment to label, tag, and structure things effectively can save countless hours down the road. For a deeper dive into strategies, check out this document organization guide from Monday.com.

Leveraging Templates for Efficiency

Templates are a gift to anyone aiming to save time without sacrificing quality or consistency. Monday Docs provides a wide range of pre-made templates, or you can create your own for a fully customized experience.

  • Pre-Built Templates to Jumpstart Projects: If you’re new to templates, look through the available options pre-loaded in Monday. These templates cater to common business needs, such as project trackers, workflow overviews, and meeting agendas.
  • Custom Templates for Specific Needs: Let’s say you have a weekly briefing template. Save it as your custom go-to version and simply duplicate it for consistency every week. This not only cuts down manual effort but also keeps the formatting and details consistent.
  • Maintain Visual Consistency: A uniform design in templates can strengthen your team’s branding efforts, creating polished, professional documents every single time. If you want to read more about why workflows benefit from standardized templates, you can find great insights here.

Using templates not only streamlines your workflow but also reduces repetitive editing tasks. The result? A team that works faster and smarter.

Collaborative Editing Tips

Collaboration is where Monday Docs truly shines. With its robust set of tools, it’s designed to make teamwork feel seamless—no matter where your team is located.

  • Assign Contributors: Don’t let too many cooks spoil the stew. Assign specific collaborators to sections of your Monday Doc, so responsibilities are crystal clear and avoid overwriting work.
  • Keep Comments Specific: Use the commenting feature to propose edits or ask questions. Instead of leaving vague feedback like “Improve this,” try “Can we add more details about client deadlines here?”
  • Set Permissions Wisely: Use editing permissions to control who in your team can modify your Doc. Whether you want something locked for review or open for brainstorming, this feature has you covered.
  • Version Control Rockstars: Don’t sweat it if something goes wrong—Monday Docs keeps a history of versions. You can always go back, making experimentation less risky.

The beauty of collaborative editing within Monday Docs lies in its simplicity and power. It’s not about getting everyone to pitch in for the sake of it, but about enabling smart, focused collaboration. For additional tips, visit this comprehensive guide on using Monday Docs collaboratively.
